A group may arrive on different connections with different luggage and onward commitments. A shared brief helps the coordinator see those differences. Keep a useful public enquiry minimal, then transfer necessary personal or confidential details through the approved private channel.

One line for each movement

For the operational plan, identify the arrival group, date, agreed reference, approximate luggage needs, meeting point and destination. Confirm whether a vehicle, assistant or interpreter is actually requested and supplied. A request is not a resource assignment or a guaranteed arrival service.

Name the decision route

Nominate a lead contact and a backup, specify who can approve changes and agree how the updated schedule reaches affected people. A good brief also asks what happens if a participant arrives late or separately. Do not share passport numbers in an open group message.
